Booking Policy

Please ensure that you bring a valid photo ID, preferably your passport, to your appointment to verify details entered on the booking system. It is necessary that 30 minutes before your appointment, you do not smoke, drink alcohol, eat, chew gum or brush your teeth to avoid contaminating the test sample. Non-compliance with this advice can render the test result inconclusive/invalid.

It is entirely YOUR responsibility to ensure you book within a timeframe that is suitable for your circumstances. By booking you agree to have read and understood our T&C's and Privacy Policies as stated on our website. 

By booking an appointment, you accept responsibility to

  • Comply with instructions provided to successfully retrieve a swab.

  • consent to the swab collection procedure associated with your test.

  • check that the information you have provided is accurate.

  • accept that our method of releasing your results will be via email to the email address you provide.

Consent to Test

  • I consent and authorise Pinefield Health Solutions Ltd t/a Fit to Fly PCR, who provides COVID-19 fit to fly pcr services to conduct a COVID-19 diagnostic test involving the collection of an appropriate sample through a nose and throat swab.

  • I understand that there are risks associated with undergoing any such COVID-19 test to include minor swabbing trauma such as nasal bleeding/irritation. I accept that, as with any COVID-19 test, there is the potential for a false positive or false negative COVID-19 test result.

  • I understand that a positive/ detected and/or negative/not detected test is not an indication that I am immune to COVID-19 and therefore I will continue to behave as if I might contract or transmit the infection.

  • I assume complete and full responsibility to take appropriate action with regard to my test results. I will provide my COVID-19 test result to my GP when required.

  • I will seek medical advice, care and treatment from my medical provider if I have questions or concerns, or if my condition worsens.

  • I understand that Pinefield Health Solutions Ltd t/a Fit to Fly PCR or any third party does not accept potential liability arising from this COVID-19 test to the extent that is permitted by law, to include but not limited to any potential liability arising from any minor swabbing trauma such as nasal bleeding/irritation and/or false positive or false negative test results.

  • I understand that neither Pinefield Health Solutions Ltd t/a Fit to Fly PCR nor any third party accepts liability for any missed flights/ferries/travel accommodation due to late or inaccurate results.

  • By authorising Pinefield Health Solutions Ltd t/a Fit to Fly PCR to conduct a COVID-19 diagnostic test, I note that Pinefield Health Solutions Ltd t/a Fit to Fly PCR will be processing my personal data for the purposes of medical diagnosis and will be obliged to share my COVID -19 test results, my personal data with Public Health England (PHE).

  • I understand that my test result may be used in a breakdown of percentages report which may be shared with third parties such as PHE for statistical and audit purposes but I understand that this is not considered to be personal data as I will not be identified in any such report.


Cancellation and Refunds of Bookings

You can amend or reschedule your appointment at no cost. You are able to cancel your order with us up to 14 days after receipt of completing your booking.  Cancellation within the 14 days of making the booking can be made by emailing with reasons for amendment/ cancellation using our contact us page on the web. All cancellations of up to 48 hours prior to the booking date will be reimbursed fully. Cancellations made within the 48 hours prior to the appointment will incur an administrative fee of £50.

If you've asked for a refund, we'll credit the account you used to pay for your order. Please allow up to 5-7 working days for the refund to appear on your account. 


We are unable to process any refunds where your travel test has been completed and your travel certificate has been delivered to you via email.


This does not affect your statutory rights.

Returns - Home Kits

If you need to contact us directly in relation to an outstanding refund, do so via Please note:

  • Under consumer protection law governing online sales, you have a right to cancel a contract within 14 days of receipt of your order.

  • If you wish to seek a refund in full, you must return your order to us in good condition within 14 days of you confirming your intent to cancel the order.

  • Upon receipt of returned goods to our refunds department, and confirmation of goods being in good condition, we shall endeavour to process your refund as soon as legally required, being within 14 days from receipt of returned goods.

  • Acceptance of a returned order is subject to your compliance with our returns process detailed to you in your order confirmation email. You must include a printed copy of the confirmation email with the goods you are returning. 


Our address for returns is Fit to Fly PCR, Crown House, 11 Home Gardens, Dartford DA1 1DZ. No other return address is acceptable. If you are unwilling or unable to return the kit in good condition, please note that we are not legally obliged to refund you. 


Due to the proficiency of our services, our logistical response to orders is instantaneous. Once an order is placed, things are set in motion which cannot be undone, and the order shall be delivered accordingly. Cancellation will be subject to the above returns policy.
